Enterprise system migration is a crucial journey many organizations undertake in their pursuit of improvement and efficiency. This transition, often centered on changing the SAP system, requires meticulous planning to ensure a smooth and successful process. This is where the Assessment phase, also known as Discovery, plays a fundamental role in carrying out this migration.

What is Assessment?

Assessment, also known as Discovery, is a standard process for mapping an organization's environment, designed to provide insights into its system foundation and needs. This phase occurs before migration and is essential for understanding the database, as well as existing conditions and configurations within the company's system. This preliminary environmental analysis plays a fundamental role. The key to this process is information, which will be analyzed and used by a professional to conduct the migration and guide the organization to its new environment, optimized with unprecedented new functionalities.

Imagine migration as a journey where the organization wants to move from an SAP ECC version to S/4HANA. However, to successfully undertake this journey, it is essential to have a map indicating the way forward. Assessment provides the necessary study to create this map, including information about the current environment, challenges that will arise during the process, details about the data to be transported, and, equally important, the time and cost involved in the migration.

SAP itself offers this service to its clients through the Readiness Check, which presents a series of system-related information, such as size, foundation, and version. However, it's possible to go beyond this functionality, measuring more deeply to provide greater detail for the company. This leads to greater confidence in estimating cost and downtime, for example, to have a more complete and personalized survey as a basis for migration.

In this enhancement to the Readiness Check, the information provided by the procedure is analyzed and, together with the company, studied to define what will be carried over to the new environment and what is no longer relevant after the migration. This is where important decisions are made, including the migration model, which can be Greenfield (implementation from scratch, meaning completely restructuring your environment without carrying anything over from the previous environment); Brownfield (previous configurations and history are carried over to the new environment, meaning customizations and transactional data are maintained); Bluefield (all configurations and developed programs are carried over, but not transactional data; it's as if SAP is started from scratch).

The Value of Assessment for Migration

Assessment plays a fundamental role in ensuring a smooth and successful migration. Here are some of the main benefits:

1. Informed Decision-Making: This phase helps the company understand which SAP modules should be migrated, which is fundamental for determining the migration's complexity level and identifying the necessary journey to the new environment. Furthermore, it provides valuable recommendations, such as the most suitable migration model and the recommended SAP version.

2. Clarity and Self-Understanding: It offers a detailed view of the database size, custom codes (known as "Z's"), and other system elements, providing clarity and self-understanding to the company. This helps identify opportunities for process and functionality optimization that can be useful according to the organization's needs, minimizing risks and unexpected changes during migration.

3. Improved Performance: By providing detailed information about the system and its integrations, Assessment contributes to improving the performance of both users and SAP software. This can lead to the optimization of work processes and the identification of beneficial opportunities for the organization.

While Assessment is valuable, it can present operational challenges, such as executing the Readiness Check, a step from SAP itself. The complexity of this process stems from handling extremely sensitive information, but this concern is addressed through a Non-Disclosure Agreement (NDA).

In summary, the Assessment phase is crucial, both for the company performing the migration and for the organization being migrated. It provides the necessary data for a complete understanding of the environment, guiding the company towards the next steps and ensuring a successful migration. Assessment is an essential ally in the pursuit of efficiency and improvement of enterprise systems, contributing to success in an increasingly digital business landscape.
